Privacy Policy

Effective October 1, 2026

Snow Canyon Insurance ("we," "us") is an independent insurance agency that serves healthcare organizations. This policy explains what information we collect through this website and our client portal, how we use and share it, how we protect it, and the choices you have. A short notice in the format used by financial institutions is also available: Privacy notice.

Information we collect

  • Information you give us: your name, business name, email, phone, the type of organization you run, the states you operate in, business details needed for insurance (revenue, payroll, employee counts, locations), claims and loss history, messages, and documents you upload (such as declarations pages, loss runs and contracts).
  • Information from others: insurance carriers, wholesalers, and inspection or reporting vendors may provide information needed to quote or service your insurance.
  • Information collected automatically: pages visited, the website or ad that referred you (including campaign tags), browser and device type, and a one-way hash of your IP address used for spam prevention. When you sign in we record the time, device type, approximate country and network address to protect your account.
  • Information we do not want: patient records and other protected health information. Please do not upload them unless a claim requires it (see below).

How we use information

  • To prepare quotes, place and service insurance, issue certificates, handle claims and policy changes, and bill and collect premium
  • To respond to your requests and send the confirmations and updates you ask for
  • To protect your account, our website and our forms against fraud, spam and abuse
  • To understand which pages and campaigns are useful (only with your consent for analytics and marketing cookies)
  • To meet legal, regulatory and insurance record-keeping obligations

How we share information

  • Insurance carriers, wholesalers and managing general agents, to obtain quotes and coverage and to service your policies
  • Service providers that help us operate: hosting, secure file storage, email and text delivery, payment processing, e-signature, error monitoring and, where you use them, AI drafting tools. They may use the information only to provide their service to us, under written agreements
  • Regulators, courts and other parties when the law requires or permits it, and to protect rights and safety
  • Business transfers, if the agency is sold or merged, subject to this policy

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Health information

We insure healthcare businesses and ask about the organization's operations and insurance, not about patients. Please do not upload patient records or other protected health information unless it is needed for a claim, and black out patient names and identifying details first. Files that look like they contain it are held for review and are not shared further. If you sent something by mistake, tell us and we will delete it securely.

How we protect information

Data is encrypted in transit (HTTPS with TLS 1.2 or higher) and at rest. Files are kept in private, encrypted storage and are available only through short-lived links after a permission check. Staff accounts require multi-factor authentication, access is limited by role, sensitive identifiers such as tax ID numbers are stored encrypted and shown masked, and access to records is logged in a tamper-evident audit trail. We scan uploads for malware and regularly review our safeguards under a written information security program. No method of transmission or storage is completely secure, but we work hard to protect your information.

Cookies and similar technologies

We use essential cookies to run the site (for example, to keep you signed in, protect forms and remember your cookie choice). If you arrive through a referral link someone shared with you, we set a first-party cookie (named sc_ref) that only records which referral link you used, so we can thank the person who referred you; it holds no personal information and expires automatically. With your permission we also use:

  • Analytics (Google Analytics 4) to see which pages help visitors
  • Marketing (Meta pixel) to measure the effectiveness of our ads

These tools are not loaded until you opt in. We honor the Global Privacy Control browser signal as an opt-out of analytics and marketing cookies. You can change your choice any time with the cookie settings link in the site footer. We record your choice (without your name) so we can show we respected it.

Text messages

If you opt in to text messages, message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help. We don't share mobile opt-in data with third parties for their marketing.

How long we keep information

We keep information as long as needed to provide services and to meet insurance record-keeping rules, then delete or de-identify it. Unsubmitted quote drafts expire after 30 days. Policy and claim files are kept for the periods required of licensed agencies; sign-in history and AI request text are kept for a much shorter time.

Your choices and rights

  • Marketing: unsubscribe from any email with the link in it, or reply STOP to a text
  • Cookies: use the cookie settings link or the Global Privacy Control signal
  • Access, correction, deletion and copies: use our privacy request form. We verify your identity and respond within 45 days
  • State rights: depending on where you live you may have additional rights, such as to know, access, correct, delete or obtain a copy of personal information, to opt out of sale or targeted advertising, and to appeal a decision. Much of the information an insurance agency holds is covered by insurance-specific laws (such as the Gramm-Leach-Bliley Act and state insurance privacy rules) and may be exempt from some state consumer privacy laws, in which case we will tell you what applies. We do not discriminate against you for using these rights.

Changes

If we change this policy we will post the new version here with a new effective date.
